  1. Who is responsible

Jacobs Language Services, the sole proprietorship of Richard Jacobs, registered with the Dutch Chamber of Commerce (KvK) under number 14082403, is responsible for the personal data described on this page.

Questions about this statement or about your data go to [email protected].

  2. Visiting the site

The site sets no cookies, uses no local storage and runs no analytics, tracking or advertising. Its fonts are hosted on the site itself, so opening a page loads nothing from a third party.

To deliver the pages, the hosting provider, Cloudflare, processes the technical data every browser sends with a request, such as the IP address, the browser type and the page requested. That data serves only to deliver the site and keep it secure, and is not used to identify or follow visitors. The legal basis is the legitimate interest in a site that works and stays secure.

  3. Form and email

A message sent through the contact form, with your name, email address, phone number if you give one, subject and message, is processed by the form service Formspree, which forwards it by email. A message sent directly arrives in a mailbox hosted by Apple (iCloud).

These details serve only to answer you and, where it comes to that, to quote for and carry out the work. The legal basis is your own request, as a step towards a possible agreement, or the legitimate interest in answering a message.

  4. Clients and assignments

For clients and for the agencies that send work, the data kept is what doing business requires: the names and business contact details of the people involved, correspondence, quotations, purchase orders and invoices.

Documents received for translation are used only to carry out the assignment and are treated as confidential, as article 10 of the General Terms and Conditions sets out. The legal basis is the performance of the agreement and, for the financial records, the legal obligations under Dutch tax law.

  5. Who else receives data

Personal data is never sold, rented out or used for marketing. It reaches only the providers that keep the practice running: Cloudflare for hosting, Formspree for the contact form, Apple for email, and the software and IT services used to carry out the work. It also goes to public authorities, such as the tax authorities, where the law requires it.

Some of these providers are based in the United States. Transfers there rely on the EU-US Data Privacy Framework or on the standard contractual clauses of the European Commission.

  6. How long

Correspondence and project files are kept for as long as the working relationship needs them. Invoices and the records behind them are kept for seven years, as Dutch tax law requires.

The technical data from visits stays with the hosting provider only for as long as it needs it for delivery and security. Messages sent through the form are kept like any other correspondence.

  7. Your rights

You have the right to access the personal data held about you, to have it corrected or erased, to restrict or object to its processing, and to receive it in a portable format. A request to [email protected] is answered within one month.

No decisions are made about anyone by automated means, and no profiles are built. If you believe your data is not handled properly, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or with the supervisory authority in your own country.
